Fund administration: six providers and what to check

By Dan Keegan · Page updated

Fund administration supports a fund’s records, accounting, capital activity and investor reporting under a defined service agreement.

The FCA’s AIFM reporting page identifies the regulatory transparency-reporting channel; that filing is different from a quarterly investor pack.

This UK-facing private-capital guide compares six providers with official service and UK-presence evidence, rather than ranking their quality or treating group branding as a regulatory permission.

Six official sources

Which six providers publish relevant private-capital services?

The selection requires an official private-capital administration remit and evidence of UK-facing operations.

Compare the named contracting entity, fund jurisdiction and written engagement; a group’s global capabilities do not establish what a particular office will deliver.

Follow the responsibility

What belongs in a private-capital administration mandate?

Fund administration can include bookkeeping, allocations, capital calls and distributions, investor records and preparation of reporting.

IQ-EQ’s UK service page describes these operational tasks; specify which apply to this fund rather than copying a generic package.

The operating records
  • BooksThe general ledger, transactions and reconciliations.
  • CapitalCommitment records, calls, distributions and allocations.
  • InvestorsThe agreed onboarding, records and document delivery.
  • ReportsDefined outputs, review steps and delivery dates.

Compare the evidence

How do administrator, manager, auditor and depositary roles differ?

A provider can offer several services through different entities, but one label does not merge their responsibilities.

The FCA Handbook on delegation preserves AIFM liability where that delegation framework applies; its scope should not be applied indiscriminately to supporting technical tasks.

How do administrator, manager, auditor and depositary roles differ?
RoleEstablish in the engagementDo not infer
AdministratorPreparation, processing, reconciliation and reporting work.Investment discretion or an independent audit opinion.
Manager / AIFMThe appointed decision-maker and applicable responsibilities. That outsourcing eliminates retained obligations.
Independent auditorThe appointed financial-statement audit scope. That preparation of accounts is itself an audit.
Depositary / legal adviserThe separately appointed custody/oversight or legal work where relevant. That every fund uses identical appointments or that the administration fee includes them.

Follow the responsibility

How could a quarterly reporting handoff fail?

In a hypothetical buyout fund, the administrator prepares a draft pack while a portfolio valuation remains unapproved.

A delivery date does not resolve the missing approval: the operating model needs a named reviewer and an escalation route.

The FCA private-market valuation review supports scrutiny of governance and conflicts; this illustration is not a client case study.

A controlled handoff

  • PreparationReconcile the draft capital and accounting records.
  • ReviewAssign approval and resolve exceptions explicitly.
  • ReleaseRetain the authorised version and delivery evidence.

Seven practical checks

Which seven checks make a provider shortlist useful?

Fund administration proposals should answer the same operating questions before fees are compared.

  1. 01

    Name the entities

Record fund domicile, contracting service entity and which permissions are relevant.

  2. 02

    List each deliverable

Distinguish books, NAV work, LP packs, capital notices and regulatory filing support.

  3. 03

    Allocate approvals

Name the manager’s reviewer, payment signatories and escalation owner.

  4. 04

    Test an exception

Walk through missing data, a revised allocation and an unsuccessful payment instruction.

  5. 05

    Review controls and access

Request the actual control reports, user permissions, subcontractor detail and incident process.

  6. 06

    Plan migration and exit

Specify opening balances, source-record ownership, export formats and handover work.

  7. 07

    Compare written costs

Ask for setup, recurring, event-based, additional-vehicle and exit costs without assuming a universal percentage.

Follow the responsibility

Why are investor reports and regulatory submissions separate?

Fund administration may support several reporting channels, each with a different audience and definition.

The FCA page identifies RegData for AIFM transparency reporting; ILPA’s template concerns private-equity fees, expenses and carried interest.

ILPA is an industry reporting framework, not a blanket UK statutory requirement or a software certification.

Separate the outputs
  • LP packThe information agreed with investors and under the documents.
  • AccountsThe applicable accounting and financial-statement process.
  • Regulatory reportThe relevant regulator’s definitions and submission route.
  • TemplateA selected industry format, version and reconciliation basis.

Use your own figures

How much processing time does a proposed handoff contain?

Use your measured or estimated minutes per item to size one defined workstream in fund administration.

For illustration only, 120 notices at 10 minutes each imply 20 processing hours; this is arithmetic, not a service benchmark.

Your figures · arithmetic only

Enter both figures to calculate.

Planned processing hours = number of items × minutes per item ÷ 60.

Count one clearly defined task. This excludes review, exceptions, parallel working, system setup and legal advice; it is not a provider fee or elapsed delivery-time estimate.

Follow the responsibility

What should remain clear after selecting an administrator?

Fund administration should leave a traceable responsibility map, not just a provider name.

Use our fund structure guide to distinguish the manager, GP and fund, and fund reporting comparison when the next question is software.

A reviewable mandate
  • Scope agreedDeliverables and exclusions are written down.
  • Owner namedThe relevant approval and decision rights remain explicit.
  • Records portableThe source trail and exit data can be retrieved.
  • Exceptions visibleUnresolved items are recorded before release.

An outsourced process still needs an accountable owner.

questions

Which questions remain?

No. Administration is a defined operating service; management authority and investment decisions follow separate appointments.

No provider appointment is a blanket compliance finding.

Identify applicable rules, retained responsibilities and the actual service scope.

No. A provider’s US tax-document capability should not be copied into a UK mandate without establishing the actual investor and tax requirements.
